EHR Integration

From a positive screen to a patient record and filed reports in your EHR, without re-typing.

Screening only helps when it reaches the people who provide care. MARS connects directly to electronic health record (EHR) and practice-management systems, so a student referred to care arrives with a chart already started.

🔄 How the handoff works

  1. Screening is completed. Results are scored and available to authorized staff immediately.
  1. A care case is opened. Staff refer the student to care from the MARS dashboard.
  1. The patient record is created in the EHR. MARS sends the demographic details the EHR requires through its API and stores the EHR's patient ID, so the same student is never created twice.
  1. Screening reports are filed in the chart. Both the clinician report and the student report are uploaded as documents into the patient's chart.
  1. Clinicians take over in their own system. Scheduling, intake and treatment continue in the EHR the team already uses.

✅ Proven in production

MARS has run this integration in production with AdvancedMD, an EHR widely used by U.S. mental health practices. Records were created and reports filed automatically, with no manual data entry between screening and care.

🧩 Connecting to your EHR

The integration is built as a reusable pattern, not a one-off script:

  • Queued and automatic — the handoff runs in the background the moment a case is opened.
  • Validated before sending — every field is checked against the EHR's rules, so incomplete records are caught in MARS, not in your EHR.
  • Self-healing sessions — expired logins are renewed automatically and failed uploads are reported without stopping the rest.
  • Modern and legacy APIs — proven with both REST and older XML interfaces; FHIR-based EHRs follow the same pattern.
🧭

For a new EHR we start with a short technical session: which API your EHR exposes, which fields it requires, and where screening reports should live in the chart. From there we agree the scope, test it in a staging environment with generated data, then switch it on.

🔐

Only the data the EHR needs to open a chart is sent. Access, encryption and audit logging follow the controls described in Security & Data Protection.
