CRM Sync

What moves between your CRM and MARS, in which direction, and how fast.

Most organizations already manage their sites, partners and providers in a CRM. MARS uses that CRM as the source of truth for setup, so nobody keeps two lists in sync by hand.

➡️ From your CRM into MARS

  • Organizations and sites — when a school or site is created or changed in the CRM, it is created or updated in MARS: name, location, level, active status and options.
  • Screening setup — each site's screening links and its screener package (which assessments it uses).
  • Provider directory — community therapists (licenses, specialties, ages served, insurance accepted, in-person or virtual) and community resources. These power the "Find Help" directory in MARS.

⬅️ From MARS back to your CRM

  • Dashboard and screening links — so account managers can open any site's dashboard straight from the CRM record.
  • Screening activity — student counts by grade, the last roster upload and the last screening date. Counts only.
  • Site lead accounts — the site lead's account is created and the welcome email is prepared automatically.
🔐

The CRM sync carries no student-level screening data. Individual answers, risk results and reports stay in MARS.

⚡ How fast, and how reliable

  • Near real time. A change in the CRM triggers MARS right away, and MARS pushes its updates the moment they happen. There is no nightly batch.
  • Secure connection. MARS signs in to the CRM with a certificate-based server login, not a shared password.
  • Schema checks. If a CRM field is renamed or changes type, MARS detects the mismatch and alerts the team instead of writing bad data.
  • Safe writes. Each update is applied as one transaction, so a failed sync never leaves half-updated records.
  • Full directory refresh. The provider directory can be re-synced in bulk at any time. Providers removed from the CRM are hidden from families automatically.
💡

Salesforce is supported today. The sync is built as separate modules (connection, queries, field mapping, record types), so other CRMs follow the same design.
